Printing accounting documents

To view the generated document, you should first print it. It is not possible to post an invoice without printing it. You can start printing from the invoice form using the multi-button (1).

Print generates a (PDF) file according to the default setting for the company or, if different, according to the Invoice type field in the customer role. A PDF is opened with the display program according to your operating system settings. It is not printed directly on paper.

When creating the PDF, the assigned standard document layout is taken into account, as well as the rules for document layouts and text modules.

  • Commit / Watermark:
    If you have activated the "Commit" function in the billing settings, the PDFs of invoices that have not yet been committed are printed with a "draft watermark".

  • Print XInvoices
    If the desired invoice format is XInvoice, you will first be taken to the XML file save dialog via Print. In the Documents tab, however, you will find an "Info file" as a PDF, which is included as a document file when posting. The info PDF depends on the billing settings.

The printed vouchers are stored in the Documents tab.

Sending accounting documents

The receipt can be sent with accompanying documents using the Send button. If no receipt has been generated by printing yet, this is now done.

A new form window opens. The sending e-mail address is preset company-wide in the e-mail server settings. The recipient e-mail address is determined from the customer contact (business e-mail address) or in accordance with the "Extended e-mail addresses" feature based on the document type. Depending on the billing setting, the contact person named on the customer side is also taken into account. In any case, the addresses are visible and editable before sending.

Text modules can be used for the subject and e-mail body. The generated file is displayed in the Attachments line. If additional documents are to be sent, this is possible via the "+" sign or the Teamwork icon.

Click on Send to send the e-mail. The "Last sent date" and "Last email recipient" fields are now filled in the respective document overview. The dispatch is listed in the Events tab.

The "Invoice dispatch" function offers options for the mass dispatch of invoices.

Posting accounting documents

Billing documents (invoices, correction invoices) can be posted directly from the billing, as all relevant data is available. Tax codes and revenue accounts can be displayed in the "Items" tab for checking purposes.

Before posting, also note the information line that no customer role with account exists for the customer. If you ignore this, a posting is made against the CpD account (customer A-Z).

The Post button in the billing object is only active once the document has been printed. Depending on the setting, the document must also be fixed. This direct posting can also take place in the overview of invoices or correction invoices, whereby it is possible to select several lines via multi-select (or all with CTRL+A).

If the posting is not to be made directly, it can also be made via the document worklist. You can make the corresponding settings in the accounting settings.

The filters for "Scopevisio outgoing invoices" can be set in the settings so that the documents are visible in the document worklist.
