One document - many ways to collaborate
The right solution for every use case: Teamwork offers you a wide range of options for sharing or collaboratively editing documents with others. Choose between sharing, external links or simultaneous online editing of Office documents:
One-click sharing! Gone are the days when you sent documents zipped in an e-mail, copied them to USB sticks or made them available via FTP servers: You select the files, the recipient or a recipient group - done. Inside or outside your organisation.
Create an external link to a file and the recipient can access and download the file directly. If you wish, you can also protect it with a password.
The "Edit in Office" function in the context menu offers an even more direct form of collaboration. Click on the link to jump to the descriptive section below.
Sharing documents
Share files via SHARE
Select a file and click on the SHARE tab. Select a group or the people with whom you want to share the document. To do this, click on the grey plus symbol and select a group or person from the drop-down menu.
Alternatively, enter an e-mail address. The person in question will receive an invitation and can register as a guest for your account (only possible for internal users and administrators)!
Share files via drag and drop
Simply drag one or more files onto a user's profile picture or onto a group to share the files.
Share files via collections
To share a collection with a user or group, click on the collection and then on the share icon in the top right-hand corner. Tick the box next to the group or person you want to share the collection with.
Revoking approvals (document)
To revoke the release of a document, click on the document and then on RELEASES. By clicking on the small x behind a user name or a group, you can withdraw the release of the document from the respective person or group.
Withdrawing collection approval
To revoke the release of a collection, click on the release symbol and uncheck the boxes in the menu for the groups or persons for whom you want to revoke the release.
External links to documents and collections
You can easily create a link to a document or collection that you can send by email or share on social networks.
Create an external link to a document
Click on a document and select EXTERNAL LINK in the preview window. Click on Create external link.
You now have the option of protecting your link with a password, restricting the validity period, prohibiting the download of the stored document or limiting the number of downloads.
You make your selection by clicking on the respective checkboxes.
The options of the respective link change automatically and can also be changed subsequently. The link does not change. It always refers to the latest version of a document.
You can open the link directly by clicking on the displayed address or copy it to the clipboard by clicking on it.
You can paste the link anywhere using the paste function or the Ctrl + V key combination. For example, you can post it on social networks.
If you click on Send by e-mail, a new e-mail will automatically open in your e-mail programme in which your link has already been inserted. You now only need to enter the email address of the person you want to share the files with.
The recipient(s) can use the document according to their authorisations.
If you want to delete an external link, click on the recycle bin icon next to the link.
Creating an external link to a collection
To create an external link to a collection, select the collection and click on the link icon in the top right-hand corner. Click on Create external link.

Edit in Office
If you want to collaborate with colleagues on the same document in .docx, .xlsx or .pptx format at the same time, you can use the "Edit in Office" function even more directly.
To do this, you briefly leave the Teamwork area, as editing is transferred live to Office Online. Changes are displayed immediately, as are the names of the people writing with you on this document.
To use this function, a few settings need to be made by the Teamwork administrator.
Prerequisites
You have an existing client access to Teamwork.
You are a registered Microsoft Office 365 user with a business, school or university licence.
Settings in the Teamwork web client (with admin function)
You can find the Teamwork web login at https://auth.teamwork.scopevisio.com/weblogin. As an administrator, click on "Settings".
Then call up the account settings.
Scroll down to the menu item "Activate Office Online" and click on the button:
Read the following information on data protection carefully. If you agree, confirm by clicking on the button. Otherwise, this function will not be available to you.
The text of the menu button has now changed. To enable the function for users, click on it.
Specify whether you want to assign the function to roles (1) or to individual users (2). As soon as you close the window (3), the function is assigned and ready for use.
Working with Office Online
Edit an existing document
An authorised user can now call up the menu item "Edit in Office" via the context menu of a corresponding document in .docx, .xlsx or .pptx format by right-clicking and accessing Office Online.
After logging in once and linking to their Microsoft 365 user account, they can edit the document online and can also see whether other users are working on the document at the same time.
Changes are saved immediately and stored as a new version in Teamwork.
Create a new document in Office 365
Thanks to the integration of Microsoft Office 365, you can also create a new Office document online from Teamwork via the three-dot menu, which is then also saved directly in Teamwork.
