Use Scopevisio as a data source in conjunction with Microsoft Power BI, Excel or other reporting programmes and create reports, pivot tables and charts.
In contrast to many other programmes, Scopevisio offers you the option of setting up additional, self-defined reports in addition to the integrated, predefined reports.
You can continue to use your usual Excel analyses and pivot tables, which you use as controlling tools, with real data from Scopevisio. Additional, completely customised reports for project controlling or forecasts can also be created.
The source data is updated automatically once the link between Scopevisio and your controlling tool has been set up. You can also access your controlling reports created with BI directly from Scopevisio - find out more here.
Data sources and authorisations
Data sources form a bridge from the Scopevisio data to the outside world. To prevent unauthorised access at this point, two authorisations are initially required when setting up the data source. To create the data source, the user must
have the authorisation for the Data source form itself (in the profiles of the Finance application, switched off by default).
Secondly, the user must have authorisation for the specific area (e.g. the journal).
We recommend using a separate profile in which all other rights are switched off to assign the Data source right (more on: Profile management). This way, it can be clearly assigned.
Set up data source
First click on OpenScope > Data sources. This takes you to the overview of data sources.
The following description is based on the example of a business analysis (BWA).
While New, Edit and Remove are self-explanatory, you must first select a data source to duplicate it.
Via New, we access the Data source form and view the Data source business object of the same name.
β
First select the data source type, i.e. the area from which data is to be retrieved. The (read) authorisation you require for the area is displayed.
Give the data source a meaningful name.
Determine the format in which the data is to be made available. Please also read the article on display problems.
Use Configure to define the users.
If you label a user as a "Scopevisio user", the password corresponds to the Scopevisio login. If you create another user, make sure you assign a secure password. After entering the user name and password, click Add.
βYou can use this drop-down to deactivate the data source as a whole instead of deleting it.
The data source must be activated initially. Then save it.Click on the "Configure columns" link to view the data in columns. You can deselect columns at this point and fulfil the requirement of data economy.
The example spreadsheet offers a brief preview of your data and does not contain all data records.
Use the data source link to connect the data source to MS Excel or other applications.
At the bottom of the form, you can also limit the data period (1).
With our journal data source, a report structure (2) can be entered directly, as well as settings for cost dimensions (3) and cancellation postings (4).
Procedure in Excel
After integrating the data source link as "Data from the web", this BWA can be generated in Excel with the pivot function in just a few clicks, which always pulls the current data from Scopevisio via Refresh.
The whole thing is explained in the following video(Integrate data source), please note that you will find the data sources, other than shown, under Organisation > OpenScope > Data sources .
Integration into Power BI
You can integrate and use the data sources with Microsoft Power BI data sources just as easily as with Excel. There are even more functions available for customised reporting.
Our colleague will show you how to integrate a data source into Power BI. Please note that, unlike in the following video, you will find the data sources in the new ribbon under Organisation β OpenScope β Data sources .
You can find more information about Power BI and its use with Scopevisio here.
Merging multiple data sources
In principle, an unlimited number of data sources can be integrated in external reporting. For example, you can load data on billing documents in Table 1 and project data in Table 2 and then compile them in Table 3 to create an analysis that correlates the information from the various data sources. It is also possible to link the data with other data sources, e.g. Excel files from Teamwork DMS.
