You can import postings as well as G/L and subledger accounts in CSV format. Decide in advance whether you want to adjust the column sequence to the Scopevisio standard using Excel or whether you would prefer to keep the original sequence and map the columns in the import form.
This mapping can be saved as a template for reuse.
First select the correct tab to import into the desired area. Drag the prepared CSV file onto the upload button or click on the button and select the corresponding file on a drive on your computer.
Instead of importing the file, you can also copy the data to cell A1 using the clipboard (CTRL+C and CTRL+V). This is practical if you have the data in an XSLX file instead of a CSV. Copying only copies values (formula results) from the original, while saving sometimes falsifies data.
Your data can now be seen in the import form, but possibly still with incorrect column assignment and inappropriate coding, recognisable by the incorrect display of umlauts.
Click on Import settings to set the ISO-8859-15 encoding. This is suitable for a CSV import to display the umlauts. Save the setting and go back to the import form and perform the import again.
Now check the column assignment and adjust the columns to your data to be imported using the selection arrows.
Feel free to import the column labels of the original data first. This makes the assignment easier. You can then simply remove the column by right-clicking on the start of the line (A).
Importing postings
The structure of a booking can be very different. Scopevisio processes the postings
either in the Account only variant
Each line contains an account
A tax key can be added to the account for information purposes
All lines with the same posting number count as one posting. Their total must be zero.
If you do not assign the debit or credit field, a positive amount represents a debit and a negative amount represents a credit.
You must also assign the collective account (receivables L+L or payables L+L) to a subsidiary account line.
or in the account and contra account variant
The line contains exactly two accounts (debit and credit)
No control key can be assigned.
You may need to edit the CSV file in advance, for example to translate alphabetical indicators such as S/H. In this case, convert the amounts into +/- values (e.g. using the Excel function: IF).
Transfer master data and generate tax postings
Below the table with the import data, you will find further settings that can modify the import.
Firstly, you can transfer certain values from the master data. For example, you can transfer the payment term and payment type as well as the collective account from the person account. The tax key and the cost dimension can be taken from the G/L account master data.
The Generate tax postings checkbox applies the tax key of the posting line or from the master data during import. If the function is not active, the Scopevisio tax key is written to the posting line for information purposes. It is then analysed later in the cash discount posting area or the advance return for sales tax. This is useful if you import the tax posting as a separate line.
As the import does not recognise any supplied tax keys (from external systems, e.g. BU9), importing postings with taxes is a complex process. Our Professional Service offers support for such projects as part of our fee-based service([email protected]).
Click on the Check button and edit any errors displayed. You can then import the error-free data by importing - incorrect lines simply remain.
If the import is not just a one-off, it is advisable to save the settings and column assignments as a template so that they can be called up again later.
Importing debtors and creditors
The import of personal accounts is largely self-explanatory. The mandatory fields for each line are
the number range
the account
the account name
the collective account
per line. A file line with "2, 10500, Müller KG, 1400" creates the customer Müller KG in the standard SKR03.
When importing customers and vendors, contacts with the corresponding contact role "Customer" or "Vendor" are automatically created in Scopevisio contact management.
