Assign a role to contacts (create customer/vendor)

Purpose

In Scopevisio, each customer or supplier role is based on a general contact.
You use the other roles of customer and vendor to specify whether a contact is managed in accounting with its own person account.

A contact can have all roles at the same time.

Procedure for creating a new contact

1. check whether the contact already exists

  • Open the contact management or use the scope search(Scopen).

  • Search for the company name or the person.

  • If the contact exists, do not create a new one.

2. add a role to an existing contact

  • Open the existing contact.

  • Click on "Convert".

  • Select the desired role:

    • Debtor (customer)

    • Vendor (supplier)

  • Confirm the selection.

3. create new contact

If no contact exists:

  • Go to Master data > Manage accounting > Debtor master or Vendor master.

  • Click on "Add".

  • Or use the plus button in the menu bar if you are working during another process.

  • Enter the name of the company:

    • Existing contacts are automatically suggested.

    • After entering at least 7 characters, you will receive additional suggestions from the Creditreform knowledge.

4. save

When saving, Scopevisio automatically creates a general contact and assigns it the selected role.
This contact can now be further processed as a debtor or creditor.


Result

  • You have clearly created the contact as a customer, vendor or both.

  • Duplicate contacts are avoided.

  • All relevant master data is linked in one place.
