Scopevisio offers numerous options for cancellations and corrections. By correction, we always mean the GOBD-compliant cancellation of the original posting combined with an editing mask for a different new entry.
Original posting, cancellation and correction posting are linked with each other, a correction posting automatically receives the document of the original posting.
Cancellation in the booking form (booking details)
Clicking on the booking number (this is possible from the document worklist, the rebu, the journal and other forms) opens the Booking form, in which you can edit non-GoBD-relevant fields directly. In particular, this is possible for
Internal voucher number
External voucher number
Posting line text
Cost dimension accounts
Below the posting lines you will find the cancellation and correction buttons:
In Scopevisio, correcting means that you can freely edit the elements of the posting in an entry form (all values) and post them again; at the same time, a cancellation (see Cancellation) is triggered on the posting date of the original. All three postings are linked, the new posting also receives any voucher file of the original.
When correcting on the key date, the new entry corresponds to the correction, but the automatic cancellation takes place on the posting date of the correction posting. This means that evaluations of the correction period are only affected by the balance from the cancellation and correction. The external voucher date remains at the old value.
If you only want to cancel the posting without creating a new posting,
βCancellation creates a linked cancellation posting that is an exact copy of the original, whereby the amounts are turned into a minus. Traffic figures are also corrected in this way.If a cancellation is to be made on a date other than the original booking date,
βStorno zum Stichtag offers the option of entering a different cancellation date. This option provides more flexibility against the background of booking periods that may have been closed in the meantime.
Once the cancellation or correction has been made, you are back in the original posting and can see the newly linked postings above the posting details.
Cancellation in the journal
In the journal, which you can access in the menu viaFinance > Reports > Accounting > Books > Ledger and journal, you can also use the multifunction button with the four cancellation and correction functions (see Posting form).
After selecting the booking period, click on Display to update the booking selection. Then select the relevant booking and choose the appropriate entry from the multifunction button.
Note: In the journal and other forms, you have the option of ticking the corresponding checkbox to "Hide cancellations".
Cancellations or corrections on the key date are not hidden. This ensures that the displayed balance always remains the same with or without cancellations.
Cancelling a posting in the voucher worklist
Select Finances > Voucher worklist.
In the voucher worklist, you can cancel postings simply by clicking with the mouse. Select the posting and click on Cancel posting. A confirmation prompt appears, which you answer with Yes.
The voucher status then changes from Booked to Cancelled and the digital voucher stamp and the log attached to the invoice (if you are working with digitised vouchers, see chapter 5 and following) show the cancellation process.
Alternatively, you can simply show the posting number in the voucher worklist and use the more comprehensive cancellation function in the posting details.
Restrictions for cancellations
There are three areas in which the cancellation or correction function should only be used with great care:
Changing postings that were created from asset accounting. As long as the asset accounting data does not change, the depreciation run will always try to restore the original data. Our recommendation: Make the corrections at the source and transfer them via the depreciation run.
Change revenue postings in the settlement. Values such as amounts or the customer and date values should not be changed, as otherwise there may be reconciliation differences between the invoice and the financial accounting. In case of doubt, a correction invoice is the safe way to go.
The cancellation of bank postings. Most customers import the bank transactions as the basis for posting. This basis also remains "used" in the event of a reversal - you must now add the missing turnover via batch or dialogue posting. The correction function is therefore always recommended for corrections to bank transactions.
Multiple cancellation
If you want to carry out a multiple reversal, select Other functions (...) in the journal display and click on the link Multiple reversal.
In the Multiple cancellation form, you can filter, select and cancel bookings from a specific date range or from a specific user.
Click on the Cancel with booking selection form button to open another form (see screenshot below) in which you can select the individual items for cancellation.
If you click on Cancel selected bookings, you cancel all bookings for the selected period after confirming a security prompt.
Click on Show journal to return to the overview of the journal with the selected period.
