If you send an external link from Teamwork, a standard text is used for the accompanying email. You can change this or replace it with your own template. This requires a basic knowledge of HTML.
Opening the email layout
Select Organisation > Administration > DMS Teamwork > Edit settings. The External document layout link field is located in the Teamwork application behaviour section. Click on the Select link.
A form opens in which you click on the eCollaboration template link.
Customise preset layout
The layout opens in your browser. Below you can see the default layout with the placeholders enclosed in curly brackets { }.
Right-click in your browser and select Show page source code or Source code (depending on which browser you are using).
Copy and change HTML code
The HTML code of the layout is then displayed. Copy this with CTRL+A and paste it into a simple text editor. Word is not suitable for this; Microsoft users are best advised to use the Editor programme.
You can edit the layout in the editor.
Then save it under a meaningful name and with the file extension .html.
Upload customised HTML layout
In the External link document layout field, click on the Select link again and on the Manage document layouts link on the next screen.
On the following screen, set the display to Show Teamwork document layouts and click Add at the bottom.
In the following form
give your new layout a name,
click on the Upload button and
upload the layout from its storage location.
Then save your changes by clicking on the disc symbol and click on the back arrow at the top right.
Your new layout will now be listed.
Set customised HTML layout as default
If you now return to Organisation > Administration > DMS Teamwork > Edit settings > Teamwork application behaviour section > External link document layout and click Select, your new HTML template for emails will be available for selection.
Select it and click Select to set it as the default layout for sending external links.
