Carry out an inventory in the system
With the stocktaking option, you can carry out a complete or location-based inventory. The inventory module supports both regular key date inventories and the initial inventory at system startup.
Types of stocktaking
Initial inventory: One-off recording of the initial stock when the system is started up.
Key date inventory: Recording of all stocks on a defined key date.
Postponed inventory: Users can set the inventory date manually. Deviation configurable via the settings
Blind inventory: Hide quantities Option to initially set all counted quantities to 0 to ensure that the count is actually carried out. Please note that this is less efficient and also harbours the greater potential for deviations in counted quantities from calculated quantities.
You can specify whether the inventory only includes products with stock that has already been booked or also includes items without previous stock. The latter is particularly relevant for the first stocktake.
Functionality
An inventory can relate to one or more locations.
Each stocktake is automatically assigned a unique stocktake ID, which you can use to track
On which day the inventory was carried out,
which stocks were recorded,
and the current status.
Inventory overview
After calling up the Inventory menu item, you will see an overview of all the inventories you have created. Each inventory can have one of the following statuses:
In preparation: Inventory has been created but not yet started.
Started: Inventory is being processed.
Completed: Inventory has been completed.
Cancelled: Inventory was terminated prematurely.
Define the inventory period at the beginning to ensure transparent and traceable documentation.
Create or edit a new physical inventory
Select Create to start a new physical inventory.
Select Edit to continue an existing or already started inventory.
Once you have made your selection, the detailed view of the respective inventory opens with all relevant information.
You can insert or edit the inventory entries using the action buttons below.
You can set a document date and a plan date for the inventory documents .
Specify the location .
The status is set automatically depending on how far your inventory has progressed.
Click on Start inventory to start recording your stocks.
All stocks that Scopevisio calculates are shown in the Target stock field. The result of the stocktaking should be recorded in the Actual stock field.
Any differences can be posted directly to a product when the inventory is posted and are valued at the current inventory price.
This posting can be set up organisationally by another person, department, etc.
First stocktaking/commissioning of the system
The first stocktake in Scopevisio is created in the same way as the periodic key date stocktake, except that we have usually created all the necessary products but all products show stock 0.
In the inventory there is the option of displaying products without stock, in which case all products from the product overview are displayed. From an organisational point of view, it makes sense to export these rows and to reproduce the inventory of the products in Excel, including the stock price at which they are to be valued. This allows you to either write a stock price for the initial inventory of a product via the entry on the product supplier or write it with the inventory.
Add entries
The above command can be used to add entries, i.e. individual lines, to show that a product is found during the physical inventory that was not previously managed in an order and a corresponding goods receipt.
Export
We can also export an inventory file via csv, record the actual stocks in Excel and save them in this file in preparation for the import.
In this way, we can ensure that we read and write consistent data everywhere.
2Go/webapp
With the help of the 2Go mobile app, the actual inventory can be recorded in the app: these are the products that are available in these quantities at this location.
To do this, the inventory must be created and started in the client, then the inventory appears in the app with the order number.
We can also systematically count and store quantities here, but with the additional option of being able to quickly and clearly identify products using a barcode scanner via the camera of a mobile phone or tablet, or alternatively via the laser scan of an MDE, without us as users having to have product knowledge to distinguish one product from another.
With the integration, we prevent count lists from appearing incomplete.
