Setting up and managing house banks

Introduction

Setting up a house bank is necessary for importing bank transactions and posting outgoing payments (payment runs).

In Scopevisio, house banks link the company's physical bank with the G/L account in financial accounting using the IBAN stored. This allows account transactions to be imported and automatically assigned to the linked G/L account. Outgoing payments (payment runs) generated in Scopevisio are also always posted to the correct, assigned transit account.

Prerequisites

  • The relevant G/L accounts in financial accounting should already be created before the setup in order to establish a link.

  • No banking licence is required to set up a house bank.

  • The following are required:

    • IBAN of the bank account

    • G/L account from financial accounting

    • Transit account that is used for payment runs

Setting up a house bank

  1. Navigate to the Finance > House banks area in Scopevisio.

  2. Click on Create new.

  3. Enter the required data:

    • IBAN and, if applicable, BIC (determined from IBAN)

    • G/L account to be linked to this house bank

    • Transit account for payment runs

  4. Check the pre-assigned fields

    • Bank name and account holder

    • Currency (the local currency is set)

  5. Save the entries with OK.

The house bank is now set up, it will be recognised and assigned when importing transactions and used for outgoing payments.

A new house bank can also be created as part of the setup wizard or automatically when importing a bank statement file with an unused IBAN for the first time.

Managing house banks

House banks can be deleted via Remove. Journalised postings to the respective G/L account are not deleted or cancelled as a result. Use Edit to open an existing house bank in order to add or change data. The fields in detail:

Further information on the bank account

  • Credit limit
    As part of the payment run, the payment amount can be distributed across several accounts. The current G/L account balance, transit account balance and credit limit are taken into account.

  • Currency
    This field provides information on the currency in which the account is managed.

  • Category
    This field categorises the account and can be filtered accordingly in the overview of account statements.

The automatic determination of the payment account is not always desired in practice, e.g. if automatic cash pooling is active. In this case, assign a correspondingly higher, fictitious credit limit when setting up the primary payment bank with priority 1.

Settings for payment procedures

  • House bank blocked
    The house bank cannot be used for payment runs. This has no effect on the linked G/L account in financial accounting.

  • SEPA COR1
    Direct debit procedure with a particularly short lead time, largely incorporated into the standard SEPA Core procedure. If the bank does not support the procedure, you can enter this here for consideration in the payment run.

  • Individual SEPA version
    Here you can select older SEPA versions if required. Normally, you should use system default settings. You determine this in the payment transaction settings. The selected SEPA version is displayed below.

  • Different creditor ID
    If you want to use an ID that differs from the payment transaction settings when interacting with this bank.

  • Online transfer
    Use the Online transfer field to determine whether a direct transfer from the invoice receipt ledger triggers a posting to a transit account, directly to the bank's G/L account or no posting at all.

  • Payment method
    For historical reasons, the outdated dtaus format is still available here in addition to the current SEPA format
    (SEPA = single european payment area).

Overview of house banks - payment sequence

In the overview of house banks, you can mark a bank as the main bank for transfers (or direct debits). If no house bank has been specified in the open item to be paid, the respective main bank is used. XRechnung also specifies the main bank for transfers in its data record if no more specific data is available.

In order to always assign a specific house bank to the items of a personal account, this can be defined as the "default" in the customer or vendor contact role.

You can also assign a priority to the house banks. If your main bank account (priority 1) no longer has sufficient cover (balance + credit limit are taken into account), then by default in Scopevisio further payments exceeding this would be made by the next bank (priority 2); if their cover is insufficient, by the next but one (priority 3) and so on.
