System: Manage user-defined fields for contacts/tasks/projects/receipts/time recording

Sometimes the standard data fields in a form are not sufficient to record all the required information. Scopevisio users can therefore create their own customised fields. This applies to contacts, tasks, projects, receipts and time recording.

Manage user-defined fields

We show the procedure using the example of user-defined fields for contacts. This works in the same way in the other forms.

To do this, follow the path Organisation > Administration > System > Manage custom fields for contacts.

The upper part of the form shows the business objects of the contacts to which fields can be assigned. The 30 available user-defined fields can be assigned to these three business objects.

Below you can see that a field labelled "Old personal account" is assigned to the "Contacts" business object.

Business objects for user-defined fields

You can rename the business objects (GO) to create more clarity by selecting a business object, clicking on the triangle arrow on the right, entering a new name in the dialogue box and confirming it.

In the example, the business object "Contacts" is renamed "Relevant for accounting". This name will be displayed in Contact Management.

Add user-defined fields

Your existing fields are listed in the User-defined fields section below.

Click Add or Edit to access the form to define a custom field. Enter the following details:

  • Name
    Name the field (mandatory entry)

  • Type
    Select the data type for the field.
    If a field has the type Text, you can create a selection list with permitted values that is displayed as a drop-down list.

  • Mandatory entry
    By activating the checkbox, the field becomes a mandatory field.

If you mark a user-defined field as a mandatory field, you must have filled the field when saving the respective form. Make sure that the appropriate business object is filled with the (mandatory) fields, otherwise the data record cannot be saved.

  • Default value
    By specifying a default value, you save yourself the trouble of entering it (especially for mandatory fields).

  • Only allow permitted values
    This checkbox only appears if you select "Text" as the type.
    This allows you to define the entries in the selection list offered for "Text" yourself by entering the values that should appear in your selection list via Add. The advantage of this is that the field contents are consistent and no input errors can occur. The values can be sorted using the arrow buttons so that the most relevant ones are at the top.

  • Placeholders for vouchers
    You can enter a descriptive placeholder name to be able to use the field content in your voucher layouts. The placeholder is placed in curly brackets in the voucher template. Instead of the self-selected name, you can also use {User-defined_field_3} as a placeholder for the field shown below.

Below the list of fields, you can reposition them within the business object by selecting them using the small arrow keys.
