Worklists in the open items list
The open item list opens with a worklist header, whereby Scopevisio offers three worklists as standard. Two of these are classic views (all items, only the open items), the third is a list without grouping with which the lines can be sorted by (absolute) amounts, among other things. We recommend that you do not change the prepared lists, but save your customisations under a new name.
More on working with and without worklists.
For beginners and newcomers: An overview video (8 minutes).
Most of the filters in the worklist are self-explanatory, we explain the special features here.
You can use the Status and "Open items" field to hide all items with a remaining amount of zero. The "All items" setting is therefore literally not an open item list.
This corresponds to the "Show itemised" checkbox in the old look.
When you click on "Show individually", the form with its filters is retained; functionally, the "Person account from ... to" fields are filled with the person account and cleared again when you click again (All...).
This corresponds to switching from the display of all accounts to a single account. However, no new form is opened for this and the columns and set filters are retained.
With this procedure, the grouping is retained, which means that some searches (e.g. sorted by absolute amount) and sorting are not possible. Please use a non-grouped open item list (example: "Search in due items") and then filter on the desired person account.
Alphanumeric account numbers (K72000) can also be entered in the Personal account from ... to fields, but only the digits are taken into account, as alphanumeric values do not form a unique range.
Search for amounts that belong together using the absolute amount. Use a list without grouping and click three times on the column header "Total amount" (or "Open amount"). The vertical lines show the absolute amount. In this way, you can also find items for which payment and invoice have been entered in different accounts.
Grouping open items
To group, right-click on the header of the desired column (RMB) and use "Group by" in the context menu. If necessary, the column with the criterion is removed, the criterion is listed in the header of the grouping and highlighted in bold.
The table rows can be grouped according to the values of the following five columns:
Account number (personal account number)
Account name (person account name)
Contact name (contact name in OP <> personal account name, e.g. for CpD accounts)
Collective account (Ford./Verb. from L+L, for the separation of e.g. intercompany OP)
Invoice area (the invoice area feature must be activated, an invoice area is in practice = 1 business premises)
Dimensions (e.g. cost unit), insofar as the dimension account in the posting is on the person account line (mapping of the patient in the healthcare system).
A grouped table is always opened with "extended grouping".
Depending on the grouping, different information is displayed in the header of the grouping. The following data is listed in the header:
Personal account number
Personal account name
Total balance (does not take filters into account)
Current account (the corresponding debtor/creditor account)
If you view the open items without grouping, you can sort by almost any column (e.g. absolute total amount). The extended table filter is still available.
Display of the correspondence account with balance
A "Current account debtor" or "Current account creditor" can be assigned in the personal account master. Its number and account balance are displayed in the header of the grouping; you can branch to this account (account sheet) by clicking on the account number.
Recognising the clearing status of the OP
The status can be read visually via the "Clearing status" icon on each item.
If you move the mouse over the status icon (mouse over) or click on it, details of the item and any clearings already made are displayed.
Clearing and other functions in the OP list
We explain clearing itself and the function buttons below the table in a separate article on clearing.
Further functions (3-dot menu Open items)
You can use the three dots at the top right to start the clearing wizard and the open items form for a key date, and you can also call up the old open items list.
The number of items on a page can be increased to up to 500 lines.
Exporting the open item list
If you want to export your open item list, you can do this using the easy export function. In the Excel export, the filter is taken into account in the open item total and a possible filtering is indicated.
The filtering of an open item list to a person account is generally not suitable for sending to the customer or supplier - if only visually. Please use the "Account statement" function in the balance confirmation area for this purpose.
